Position Descriptions/Responsibilities:
  • DUTIES OF THE PRESIDENT
    The President shall be the chief executive officer of the corporation and shall, subject to
    the control of the Board of Directors, supervise and control the affairs of the corporation and the
    activities of the officers. He or she shall perform all duties incident to his or her office and such
    other duties as may be required by law, by the Articles of Incorporation of this corporation, or by
    these Bylaws or which may be prescribed from time to time by the Board of Directors. Unless
    another person is specifically appointed as Chairperson of the Board of Directors, he or she shall
    preside at all meeting of the Board of Directors. If applicable, the President shall preside at all
    meetings of the members. This position may be left vacant, by determination of the Board of
    Directors.
    DUTIES OF THE TREASURER
    Subject to the provisions of these Bylaws relating to the “Execution of Instruments, Deposits and
    Funds,” the Treasurer shall.
    1. Have charge and custody of, and be responsible for, all funds and securities of the
    corporation and deposit all such funds in the name of the corporation in such banks, trust
    companies or other depositories as shall be selected by the Board of Directors.
    2. Receive and give receipt for, monies due and payable to the corporation from any source
    whatsoever.
    3. Disburse, or cause to be disbursed, the funds of the corporation as may be directed by the
    Board of Directors, taking proper vouchers for such disbursements, and signing all
    checks therefore.
    4. Keep and maintain adequate and correct accounts of the corporation’s properties and
    business transactions, including accounts of its assets, liabilities, receipts, disbursements,
    gains, and losses.
    5. Exhibit at all reasonable times the books of account and financial records to any director
    of the corporation, or to his or her agent, or attorney, or request therefore.
    6. Render to the President and directors, whenever requested, an account of any and all of
    his or her transactions as Treasurer and of the financial condition of the corporation.
    7. Prepare, or cause to be prepared, and certify, or cause to be certified, the financial
    statements to be included in any required reports.
    In general, perform all duties incident to the office of Treasurer and such other duties as may be
    required by law, by the Articles of the Incorporation of the corporation, or by these Bylaws, or
    which may be assigned to him or her from time to time by the Board of Directors.

  • DUTIES OF THE REGISTRAR
    1. Set up online registration for all sessions, clinics, tournaments, etc. as directed by the
    Board of Directors.
    2. Update Board of Directors on a weekly basis as to registration numbers.
    3. Send Board of Directors and/or Session Directors updated rosters the day before a
    session, clinic, tournament or once they are finalized.
    DUTIES OF THE EVT TOURNAMENT DIRECTOR
    1. Market the tournament year round and manage the public relations for the tournament
    2. Actively solicit teams to register for the tournament with the goal of increasing the
    participation each year until capacity
    3. Oversee the registration of the teams for the tournament
    4. Oversee all vendors and hospitality at the tournament
    5. Create the schedule for the tournament and communicate with the registered teams
    6. Oversee the set up and take down of the event
    DUTIES OF THE HAMBURG VARSITY COACH
    1. Report to the BOD regarding the annual activities of the Varsity team
    2. Present to the BOD the Fall/Winter events (tournaments, clinics, Sahlens schedules,
    Coaches assignments, etc)
    3. Provide the financial details(tournament fees, coaches, auto rental, gas, tolls) of each
    event for BOD discussion and determination of family fees.
    4. Coordinate the coaches who will work these Fall/Winter events
    5. Oversee the coaches who will work these Fall/Winter events
    6. Coordinate transportation and other logistics of Fall/Winter events
    7. Dialogue with College coaches regarding recruitment (year-round) and communicate
    with families regarding the same.
    8. Assist Summer Director where needed (ie summer staff/expectations)
    9. Assist Summer Director with The EVT Memorial
  • DUTIES OF GIRLS PROGRAM DIRECTOR
    1. Responsible for the management and coordination of all aspects of the program in
    accordance of the goals and philosophies as determined by the Board of Directors of
    Hamburg Youth Lacrosse, Inc.
    2. Work closely with Girls Director of Coaching to develop program according to US
    Lacrosse guidelines, assess and reassess equipment and uniform needs for each season,
    and interview new hires.
    3. Facilitate all communication with leagues, parents, and coaches in a timely manner with
    guidance and help from the Board.
    4. Respond to complaints, rule violations and other issues with the help of the Board.
    5. Oversee game and referee scheduling.
    6. Produce, collect and file official team rosters.
    7. Oversee the maintenance of an accurate program database/contact list.
    8. Make sure bills are paid, sign checks for officials and employees, oversee tax filings, etc.
    9. Attend monthly board meeting to update boys’ program on new developments.
    10. Update social media outlets.
    DUTIES OF THE TOURNAMENT COORDINATOR
    1. Determination of Tournaments attended by each division – ALL Seasons
    The TC, working with the coaches and other board members, will determine the tournament
    schedule and insure that the chosen tournaments match team/player ability and fall within the
    guidelines set forth by HYL.
    2. Finalization of players assigned to a team(s) based on coach’s decision.
    The TC will monitor player availability/registration for tournaments and work with the coaches
    to adjust team rosters and/or tournament divisions accordingly. Note: Player notification may
    be required or may be completed by the coach.
    3. Tournament Registration.
    The TC will register all teams for agreed upon tournaments and manage any changes that may
    occur.
    4. Communication
    The TC will post tournament information on the web site or forward the information to the web
    master for posting. Additional team/player notifications may be required based on coach’s request.
    **Due to the constant changing teams/players, it is recommended that the TC have previous HYL board
    experience where a complete understanding of the organization, grad year divisions/teams, and overall system
    has been attained.
  • DUTIES OF Marketing Director 
    1. Maintain and update the HYL Website with daily, weekly, monthly, and seasonal
    information regarding practices, tournaments, games, equipment, photos, general info, etc
    2. Review and coordinate flow of information posted on Facebook
    3. Update web information for the Hamburg Central School District school teams including
    practices, games, schedules, varsity trip information, and other school related events
    4. Oversee all marketing to schools, potential players and families
    DUTIES OF THE FUNDRAISER COORDINATOR
    Coordinates fundraising strategies and is responsible for supporting major fundraising programs
    for Hamburg Youth Lacrosse. Assists in the
    1. Develop fundraising goals based on budgetary needs of the HYL program.
    2. Develop fundraising activity plans that maximize participation or contributions and
    minimize costs.
    3. Plan and direct special events for fundraising, such as can drives, meat raffles or silent
    auctions.
    4. Establish fundraising or participation goals for special events or specified time periods.
    5. Recruit sponsors, participants, or volunteers for fundraising events.
    6. Direct or supervise fundraising staff, including volunteer staff members.
    7. Monitor progress of fundraising drives.
    8. Coordinate materials such as posters, Web sites, or newsletters to promote, market, or
    advertise fundraising events.
    9. Monitor budgets, expense reports, or other financial data for fundraising organizations.
    10. Secure commitments of participation or donation from individuals or corporate donors.
    11. Develop strategies to encourage new or increased contributions.
    DUTIES OF THE SUMMER DIRECTOR (Paid position)
    1. Oversee the summer youth program, including registration for tournaments and
    scheduling of games and practices
    2. Report to the Board regarding the activities and enrollment of the Youth Program;
    3. Be present at all practices and games during the summer season to act as the main point
    of contact for coaches, parents, and players
    4. Assist with the planning and organizing of the EVT Touranment
    5. Responsible to communicate with coaches to make sure attendance is taken to ensure all
    players are registered
  • DUTIES OF THE SPRING DIRECTOR (Paid position)
    1. Oversee the Spring youth program, including registration for tournaments and scheduling
    of games and practices
    2. Report to the Board regarding the activities and enrollment of the Youth Program;
    3. Be present at all practices and games during the Spring season to act as the main point of
    contact for coaches, parents, and players
    4. Responsible to communicate with coaches to make sure attendance is taken to ensure all
    players are registered
